1. Responsible Party

2. Information We Collect
- Identity and contact details (name, surname, email, mobile number, WhatsApp number, town/area);
- Communication preferences and consent choices;
- Booking, lesson, package and progress information;
- Payment reference details and proof-of-payment documents;
- Support and correspondence you send to us; and
- Technical information necessary to operate the portal (such as session tokens).
We collect information directly from you, from your use of the portal, and from third parties acting on our instruction (for example our payment processor).
3. Purposes & Lawful Grounds
- To create and manage your student account (contract with you);
- To take bookings, deliver lessons and provide customer support (contract);
- To process payments and verify proof of payment (contract and legal obligation);
- To send operational communications by email, SMS or WhatsApp (legitimate interest / contract);
- To comply with legal, tax and accounting obligations (legal obligation);
- To send optional marketing where you have consented (consent, which may be withdrawn).
4. Payments (PayFast)
Card payments are processed securely by PayFast. Your full card details are entered on PayFast's secure environment. We do not receive or store your full card number, CVV or PIN.
5. Proof of Payment
Proof-of-payment documents you upload are stored securely and are only accessible to authorised staff to verify EFT payments.
6. Who We Share With
- Authorised staff and instructors who need the information to deliver our services;
- Our payment processor (PayFast) to process online payments;
- Necessary technology providers (hosting, email, WhatsApp/SMS messaging);
- Regulators, law-enforcement or courts where legally required.
7. Cross-Border Processing
Some of our service providers may process information outside South Africa. Where this happens we take reasonable steps required by POPIA, including relying on providers that offer an adequate level of protection or that are bound by binding safeguards.
8. Security
We take appropriate technical and organisational measures to protect your personal information, including access controls, encryption in transit and role-based access to the portal database.
9. Retention & Deletion
We keep personal information only for as long as necessary for the purposes above or as required by law (such as tax and accounting record-keeping obligations). When it is no longer needed we delete or anonymise it.
10. Minors
We only process the personal information of a minor with the consent of a parent or legal guardian, or where otherwise permitted by law.
11. Electronic Direct Marketing
Where we send electronic direct marketing, you may opt out at any time by replying "STOP", following the unsubscribe link, or emailing hello@shaysdrivingschool.com.
12. Your Rights
You have the right, subject to POPIA, to:
- request access to your personal information;
- ask us to correct or delete your information;
- object to processing on legitimate-interest grounds;
- withdraw a consent you previously gave; and
- lodge a complaint with the Information Regulator of South Africa.

13. Cookies & Embedded Portal
Our portal uses only essential cookies and browser storage needed to keep you signed in and to operate the site. Where the portal is embedded on shaysdrivingschool.com, the same essential storage is used inside the embedded frame.
14. Changes to this Policy
We may update this policy from time to time. The updated policy will be posted on this page with a new effective date.
